Privacy Policy | In Memory Of Life Funeral Directors
Last updated July 2026
Introduction
Funeral Enterprises LTD, trading as In Memory Of Life Funeral Directors ("we", "us", or "our"), respects the privacy of our clients and website users ("you").
This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit www.inmemoryoflife.com or our client portal at app.inmemoryoflife.com, including any other media form, media channel, or mobile website connected thereto (collectively, the "Site").
We are the data controller responsible for your personal information.
Please read this policy carefully. If you do not agree with its terms, please do not access the Site. We may update this policy periodically; any changes will appear here with a revised "Last Updated" date.
Collection of Your Information
We may collect personal information about you directly, from others involved in the funeral process, or automatically when you interact with our Site.
Personal Data
We collect personal information such as your name, address, email address, telephone number, and details necessary to provide our funeral services. Most information is provided when you:
- Register an account or save a funeral quote
- Complete forms or instructions related to funeral arrangements
- Contact us by phone, email, or in person
- Access the client portal at app.inmemoryoflife.com
- Enquire about or purchase a pre-paid funeral plan (when available)
We may also receive information indirectly from:
- Coroners, registrars, hospitals, or GPs providing details required for funeral arrangements
- Service partners assisting with logistics, carriage, or mortuary services
Special-Category Data
Some information may include special-category data (for example, religious or philosophical beliefs, or limited health information) where relevant to funeral wishes. We process this data only where necessary and with appropriate safeguards.
Because this is special-category data under the UK GDPR, we rely on an additional lawful condition to process it — normally your explicit consent, or because the processing relates to information you (or your family) have chosen to make public as part of the funeral, or because it is necessary for reasons of substantial public interest. Where we rely on explicit consent, you may withdraw it at any time.
Client Portal Data
Our client portal (app.inmemoryoflife.com) is built on the Base44 platform. When you use the portal, data such as funeral arrangement details, uploaded documents, instructions, and messages are stored and processed within Base44's infrastructure. Base44's current documentation states that default app data is stored in the United States, with Mongo used for data storage and hosting and Supabase used for media hosting.
Access to the portal is protected by individual user accounts. To view or add personal information in the portal, you must create an account and verify your email address. Your unique portal link and login details are personal to you — please keep them confidential and do not share them with anyone you do not wish to have access to your arrangements. Portal data is accessible to you and to our authorised team members who need it to provide your services. We do not share this data with third parties except as described in this policy.
Derivative Data
Our servers automatically collect technical details such as your IP address, browser type, operating system, access times, and pages visited before or after using our Site.
Financial Data
When you make payments to us, financial details are processed securely by our payment providers. We do not store your full payment details. Please review the relevant payment provider's privacy policy for further information on how they handle your data.
Mobile Device Data
If you access the Site from a mobile device, we may collect device identifiers, model, operating system, and approximate location data.
Advertising and Analytics Data
With your consent (managed through our cookie banner), we use tools such as Google Analytics, Google Ads, and the Meta pixel to understand how our Site is used and to measure the effectiveness of our advertising.
As part of Google Ads "Enhanced Conversions", where you have provided your details to us (such as your email address), that information is converted into a secure, irreversible code ("hashed") on our systems before being shared with Google, and is used only to match your enquiry to an advertising campaign. This processing only takes place where you have consented to advertising cookies. For more detail, see our Cookies Policy.
Telephone Call Recording
We record some telephone calls for training, monitoring, and quality assurance purposes. This helps ensure the information we provide is accurate and that our team maintains high standards of care and professionalism.
Call recordings are processed under our legitimate interests in improving our services, supporting staff development, and resolving any future service-related queries or complaints.
Recordings are stored securely, accessed only by authorised personnel, and retained for up to 2 years before being permanently deleted, unless required for an ongoing investigation or legal obligation.
We do not use call recordings for marketing or share them with any third parties, except where required by law.

We use the information we collect to:

Disclosure of Your Information
We may share information in the following circumstances:
- By Law or to Protect Rights: When required by law, regulation, or to protect the rights, property, or safety of others.
- Third-Party Service Providers: With trusted suppliers assisting in the funeral process (e.g. carriage, mortuary, staffing, IT, or hosting providers including Base44 and its subprocessors).
- Advertising and Analytics Providers: With providers such as Google and Meta, for the measurement of our advertising, as described above and in our Cookies Policy, and only with your consent.
- Marketing Communications: With your consent, or where legally permitted, for marketing purposes.
- Business Transfers: In the event of a merger, acquisition, or business reorganisation, your information may be transferred to the successor entity.
We never sell personal data and do not share call recordings, personal messages, or sensitive information for marketing.
International Transfers
Some of our service providers store or process data outside the United Kingdom. In particular, Base44 documents that default app data and media are hosted in the United States. Base44 also uses subprocessors in other countries, and our advertising and analytics providers (such as Google and Meta) may process data outside the UK.
Where personal data is transferred outside the UK, we require an appropriate safeguard under the UK GDPR. Depending on the destination and provider, this may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or another legally recognised transfer mechanism. Base44's Data Processing Addendum governs its processing of app-user data and requires lawful transfer mechanisms and protections for its subprocessors. You can request more information about the safeguards we use by contacting us using the details below.
Tracking Technologies
We use cookies and similar technologies to improve your browsing experience, understand usage patterns, measure our advertising, and provide relevant content. Non-essential cookies are only used with your consent.
We use CookieHub to manage your cookie preferences and record your consent choices. Only strictly necessary cookies are enabled until you give permission for others. You can review or change your choices at any time via the "Cookie Settings" link at the bottom of our website. For full details, please see our Cookies Policy.
Data Retention
We retain personal information only as long as necessary for the purposes outlined in this policy and in line with legal requirements.
- Funeral arrangement records: up to 6 years after completion of the funeral
- Client portal data: retained for the duration of the funeral arrangement and up to 6 years thereafter
- Pre-paid funeral plan records (when available): retained for the duration of the plan and for the period required by applicable regulation after it ends
- Call recordings: up to 2 years, then securely deleted unless required for an ongoing investigation or legal obligation
- Financial and accounting records: 7 years (HMRC requirement)
After these periods, data is securely deleted or anonymised.
Lawful Bases for Processing
We process your personal information under the following lawful bases:
- Contractual necessity – to fulfil funeral services or related agreements
- Legitimate interest – for staff training, quality monitoring, dispute resolution, and operational administration
- Legal obligation – to meet UK legal and regulatory requirements
- Consent – when you opt in to receive marketing, or to non-essential cookies including advertising and analytics
For special-category data, we also rely on an additional condition under Article 9 of the UK GDPR, as described in the "Special-Category Data" section above.
Marketing
Where we send you marketing communications, we do so either with your consent or, where permitted, on the basis of a "soft opt-in" to existing clients about similar services. You can opt out of marketing at any time by using the unsubscribe link in our emails or by contacting us. Opting out of marketing will not affect the provision of your funeral services.
Your Data Protection Rights
You have the right to:
- Request access to the personal data we hold about you
- Request correction of inaccurate or incomplete data
- Request erasure ("right to be forgotten") where applicable
- Object to or restrict processing in certain circumstances
- Request data portability where processing is based on consent or contract
- Withdraw consent at any time where we rely on consent
To exercise any of these rights, please contact us using the details below.
You also have the right to lodge a complaint with the Information Commissioner's Office (ICO): www.ico.org.uk.
Security of Your Information
We apply administrative, technical, and physical safeguards to protect your data from unauthorised access, loss, or misuse. This includes securing access to our client portal through individual accounts and email verification, restricting access to authorised personnel, and reviewing our controls regularly. While no system is entirely secure, we maintain appropriate controls and keep them under review.
If you believe your account or portal access has been compromised, please contact us immediately using the details below.
Changes to This Policy
We review this Privacy Policy regularly and update it on this page as needed. The latest version will always include the current "Last Updated" date above.
